If sales agents miss the annual registration period, they will be required to pay the full registration fee at any time throughout the year. Agents that solely handle leases who miss the annual registration period, will be registered at the time, and charged at R1500 per lease. |
Why a registration fee? →
Plantations Estate has produced Sales and Lease packs for all agents who wish to lease or sell property within the estate.
The documents contained within this pack are specifically required to ensure compliance with Acts such as POPI and the PPA, as well as to ensure the estates security protocols are maintained, along with compliance with the legalities set out in our MOI and Conduct Rules.
It is therefore a necessary requirement for the HOA to exercise some form of control over the process to ensure that the correct information is conveyed by agents to potential buyers or lessees.
The HOA will provide a digital marketing brochure to all registered agents, which includes a site map and images with detailed information about the estate which can be given to all potential clients.
Agents will be permitted to include their own logo and branding along with Plantations on the prescribed sale / lease agreement, but they must use the prescribed contract which contains all the relevant clauses.
All agents are required to submit a copy of the mandate and declaration by the owner, referred to in section 67 of the Property Practitioners Act to the HOA, as a measure of control regarding defects to the property to proceed with the sale process.
The mandate must provide that the agent shall pay the administrative fee to cover costs to attend an induction session and receive the required packs and marketing brochures.
The completed and signed sales or lease pack documents required by the estate, must be submitted to the Estate Management office at least 1 working day prior to the new resident’s induction meeting for access etc.
The new resident’s appointment must be at least 3 working days prior to the move in date.
The estate office will not be responsible for the printing and scanning of documents on behalf of agents.
Private Sales or Leasing by owners →
Owners wishing to sell or lease privately, with no assistance from any estate agent whether they are
registered or not, will not be required to pay for the purchasing of a sales / lease pack.
On confirmation of a sale or lease, the owner is to confirm in writing the sale or lease details and the estate office will provide the relevant packs to the owner for completion.
The completed and signed sales or lease pack documents required by the estate, must be submitted to the Estate Management office at least 1 working day prior to the new resident’s induction meeting for access etc.
The new residents access appointment must be at least 3 working days prior to the move in date.

Agents and sales or lease pack fees (as applicable) cover, inter alia, the following:
▪ Orientation session covering Estate rules and requirements for sales and letting
▪ Estates resident management system for availability of plans and historical information on the
property
▪ Marketing: Website, Instagram, digital colour brochure.
▪ Administration and usage costs to the Estate which include
- Inspection of property prior to sale
- Roads usage (repairs, estate signage, kerbs, painting, speed monitoring)
- Maintenance for use of services (access control system, security, booms)
- Admin (revision of sales and lease agreements, resident forms, data entry and
